Send UK planning applications to Re-Leased

Match planning applications to the properties on your rent roll, and stamp the reference onto the property record.

Re-Leased manages commercial property, so the planning question it answers is about the neighbourhood as much as the building: what is proposed next door, on the estate, and across the road. Plota brings UK planning applications from 389 council planning portals into one classified, source-linked feed, each carrying an address, a postcode and a coordinate with a stated precision. Read the portfolio out of Re-Leased, match the applications to it, and the manager who looks after a building knows what has been applied for around it.

Before you start

  • Get an API key (a free demo key works for testing).
  • Create a saved alert in Plota for the area and categories you want, and note its alert id.

How to connect Plota to Re-Leased

Read the portfolio

GET /api/properties returns each property with a composed Address string and its parts: FlatNumber, StreetNumber, Street, Suburb, TownCity, StateRegion, PostZipCode and Country. The unit level is an Area, at GET /api/properties/{propertyId}/areas, carrying SuiteNumber and FloorNumber. Add includeCustomFields=true to see the custom fields a customer has set.

Get Re-Leased access

Authentication is OAuth 2.0 authorisation code against /authorise and /token. The access token lasts a year and there is no working refresh token, so renewal means running the flow again. Access is by approved-developer enrolment through Re-Leased’s request form, and the API is included with Enterprise and sold as an add-on on the Core and Pro plans. No sandbox or test environment is documented, so treat every call as production.

Match applications to properties

Match on the postcode first, which is PostZipCode on a property, then on the address parts. Re-Leased has no UPRN field, so the join is textual. Plota’s coordinate comes with a precision value of rooftop, anchor or centroid, which tells you how much weight a distance deserves before you put a scheme in front of a manager.

Alert on the area around each asset

Create a saved alert per building, per estate, or per town, whichever matches how the portfolio is managed. To upload a whole rent roll and have Plota route by region instead, portfolio monitoring is the product built for it.

Write the reference back, if the customer has custom fields

Custom fields are the only durable place an integration can put its own reference on a property: the property update accepts nothing but the identifier, the purchase date, the owner name and email, and CustomFields. They are written by FieldIdentifier, the slug derived from the field label, and the customer has to create the field in Re-Leased first and hold the custom fields entitlement. Every write also needs an Idempotency-Key header, which is a useful property here: resending the same key returns the original record rather than duplicating it.

What Re-Leased does not have

No webhooks in either direction, no notes endpoint, no tasks object and no activity feed. Change detection is polling updatedAfterDate. A planning application cannot be filed as a note or a task against a property, which is why this guide reads the portfolio and writes a custom field rather than promising a timeline entry. The Zapier app is scoped to invoices, credit notes and payments, so it cannot do this job either.

Field mapping

What arrives from Plota, and where it belongs in Re-Leased. Plota field names are the ones in the API reference; every webhook carries them under data.application.

What teams use this for

What is proposed next to an asset

A development across the road changes access, parking and light for a tenant. Seeing the application at submission gives a manager time to read it rather than hear about it later.

Estate and multi-let sites

Applications on a shared estate often relate to units you manage. Matching on the postcode and then the street number puts a scheme against the right area of the property.

Evidence a manager can check

Every Plota record carries its own page and the council’s URL, so a question about a scheme is settled by opening the council record rather than trusting a summary.

Verify deliveries

Each webhook is signed - verify the Plota-Signature header (HMAC-SHA256 over timestamp.body). Full details in the API docs.

Re-Leased integration FAQ

Can I write planning applications into Re-Leased?

Partly. Re-Leased documents creates for contacts, properties, areas, tenancies, maintenance and inspections, but it has no notes, tasks or activity feed, so there is no natural place to file a planning alert as a timeline entry. The durable option is a custom field on the property, which needs the customer’s custom fields entitlement.

Can I use the Re-Leased Zapier app for this?

No. That app covers invoices, credit notes, payments and inspections, and its triggers poll. It cannot create a contact, property or tenancy, so a planning workflow needs the API.

Does Re-Leased send webhooks?

Not in its published API reference. Its marketing mentions webhooks, but no event types or subscription endpoints are documented, so plan for scheduled reads and writes. If webhooks matter to your build, ask Re-Leased directly rather than relying on a guide.

How do I match an application to a property I manage?

Postcode first, using PostZipCode, then the address parts. Re-Leased holds no UPRN, so there is no exact identifier to join on. Plota also gives a coordinate and a precision value, so you know whether a point is a rooftop, a site anchor or a postcode centroid before you measure a distance from it.

What are the rate limits?

Re-Leased documents 60 calls in a rolling minute and 10,000 in a rolling day, returning 429 past either. Reading a large portfolio is therefore a scheduled job, not something to do on every planning match.

Do I need a particular Re-Leased plan?

API access is included with Enterprise and sold as an add-on on Core and Pro, and developers are enrolled through a request form rather than signing up. There is no documented sandbox, so check your contract and plan the first run carefully.

Is it free?

A free Plota demo key covers testing, and live webhook delivery runs on the Starter plan and above. Re-Leased prices its own API access.
